Creating an organizational change required multiple disconnected deliverables, including role descriptions, approval documents, vacancy postings, and communication plans, with no single source of truth.

Fragmented Workflow

Problem

Organizational restructuring is one of the most complex internal workflows in large enterprises. HR teams must coordinate multiple stakeholders, maintain consistency across interconnected documents, and navigate lengthy approval processes. Through discovery and workflow mapping, four systemic challenges emerged:

Generating text wasn't enough. Users needed to understand why AI made recommendations, verify assumptions, and remain in control before approving organizational changes.

A single change، such as updating a reporting line, affected multiple documents, approvals, and stakeholders. These dependencies were difficult to track, often leading to inconsistencies and delays.

Organizational restructuring is one of the most complex workflows inside large enterprises. HR teams must coordinate multiple stakeholders, create interconnected documents, ensure compliance with company policies, and navigate multiple approval stages before any change can be implemented.

Most organizations still rely on Word templates, email threads, and manual reviews, making the process slow, fragmented, and error-prone.

Our team set out to explore how AI could simplify this experience, not by replacing human decision-making, but by orchestrating the entire workflow.

The approach


Replace long forms with a guided conversation that asks one question at a time and explains why the information matters.

Generate every required document simultaneously from a single source of truth, while continuously checking them for inconsistencies.

Every recommendation includes its source and confidence level. AI suggests; people stay responsible for every approval before anything reaches Legal or Finance.

Early draft: Guided intake, Instead of asking users to complete a large form, Flux guides them through a short conversation. Each question explains its purpose, helping users provide better information while uncovering missing details early.

Rather than generating four independent documents, Flux treats them as one connected system. Any change automatically propagates everywhere, preventing inconsistencies before they reach reviewers.



AI supports, humans approve


Every generated section is traceable to its source, carries a confidence score, and requires explicit approval. The system accelerates the process without removing accountability.



Progress visible at a glance


Instead of lengthy approval timelines, each case highlights its current stage, next action, and blockers. HR teams can immediately identify which organizational changes require attention.
